Beginning October 1, 兔子先生 users will start to see a new label in their Google Drive on certain files.

Some files and folders in the “Shared with me” section of your Google Drive will have a “Pending Delete” label applied to them. These files have been shared with you by someone whose account will be deleted soon. This may include the files of former faculty or staff members who you have worked with in the past.

Along with the “Pending Delete” label, you will also notice that your former colleagues’ email addresses will have been changed to append “former” as a prefix before their UniqueID, e.g., former-jenikee@miamioh.edu. We have taken this action in order to help you find files that you need to go through; please follow these instructions:

  • In Google Drive, open the Advanced Search and choose “Pending Delete” from the Labels drop-down.
  • Select a person with an email address that starts with “former-” and determine whether the files need to be kept
  • Repeat for each person with “former-” in your list

This change is due to the limitations that Google has placed on the amount of storage we are allowed to keep in our domain as an institution. Due to those restrictions, we have begun the process of deleting the accounts and data of former employees who are no longer affiliated with the University.

This process is just now beginning, so you will see these labels for several months before they will be deleted. There will be more reminders as the Fall 2024 semester progresses, but please set aside some time to go through your Drive for these files! Thank you for your patience and understanding as we work to stay within the restrictions placed on us by Google.
